SendGrid emails come to junk in hotmail/live/msn/outlook from our server

All of our customers who have hotmail/live/msn/outlook emails account have reported as not receiving the email neither in their inbox nor in their junk/spam folder, moreover some of them reporting that always receiving the mails in junk folder. We are using SendGrid to distribute the emails. SendGrid says the emails were delivered. The emails have text with an invitation link, no image or multimedia in it.

We do not know what is going on with hotmail/live/msn/outlook. Is our dedicate IP blacklist or something else? Please suggest us.

Check for blacklisting at mxtoolbox.com. If it's not on a list, then its on an internal blocked list because too many users reported it as junk. The affected users need to mark it as not junk and add the from address or domain to their safe senders list.

Hello my name is Yohandi

SendGrid is a third-party application which you use to perform an SMTP relay?

Do you have an Office 365 Business subscription?

If you have a subscription of Office 365 Empresarial you must validate the IP address of the application, it is possible that it is on a blacklist.
To check the IP address you can use the MXTOOLBOX tool
https://mxtoolbox.com/blacklists.aspx

If the IP address is not blacklisted then I recommend adding the IP address in the SPF record in the DNS host and thus avoid that the emails are received in the Junk Mail. What is happening is that the mail provider of the recipients are not validating the sender's authenticity and therefore receive them in the Junk Mail.

For more information on how to set up a multifunction device or application to send email using Office 365 vist de likn below. I recommend you the therth option.

Hi Diane,

Thank you for the reply, I have checked my Dedicate IP with MXTOOLBOX tool and results areas:

SendGrid dedicate IP:

Checking <SendGrid Dedicate IP> against 94 known blacklists...

Listed 0 times with 1 timeouts

AWS server dedicate IP:

Checking <AWS Server Dedicate IP> against 94 known blacklists...

Listed 0 times with 1 timeouts

Here:

SendGrid Dedicate IP is the static IP for our SendGrid account used to distribute the mails.

AWS Server Dedicate IP it the static IP address for the Linux server of our hosted domain.

Also the main concern is that if user does not check the junk folder then how he will come to know to add the the email address/domain in his safe sender list?

Hi Yohandi

Thank you for the reply,

For AWS server dedicate IP:

Checking <AWS Server Dedicate IP> against 94 known blacklists...

Also the main concern is that if user does not check the junk folder then how he will come to know to add the the email address/domain in his safe sender list?

I have paid account in SendGrid, so I want to use SendGrid to distribute the email for my domain. I have updated my SPF record with SendGrid Dedicate IP, but still getting mails in Junk. Is there anything which I should care? Please suggest.

Is there any way to check my IP blacklist status within Microsoft(hotmail/live/msn/outlook)?

Thanks

Hello Jitendra

In the link below you will find the instructions and information to list the IP address by Microsoft in case it is blacklisted by Microsoft.

Use the delist portal to remove yourself from the Office 365 blocked senders list.
https://docs.microsoft.com/en-us/office365/Secu...

If the IP address is listed by another spam analysis institution you should contact them to know the steps to follow, another way may be to contact the application provider to be responsible for de-listing the IP address or assign a new IP that is not in blacklist.

I hope it works for you

I wish you an excellent day

Unfortunately, you can't do much if its on an internal list or if the message looks ' spammy' and is caught by a filter.

Using SPF and DKIM might help - but since you use sendgrid, I'm assuming that is set up already. (I use amazon SES and they had me add DKIM as part of the initial config.)
