Printing problems with address labels

Printing Problems

Printer: Pixma iP 4920

Software: Microsoft Office 10

Access 10

                        Word 10

Avery Label: 5160

Print does not track according to the label. The first row of labels may be properly filled in. Succeeding rows have print farther and farther out of sync with the label with print moving toward the top of the label. The last row has the first line of text on the label missing. Print preview looks OK.

I seem to remember something about calibrating the printer with the label several years ago. I don’t see anything about that with latest label 5160.

The problem exists with Avery Design Pro, Label creation with Access and also with Word. I note that the Avery template for the 5160 is several years old; is it compatible with the latest versions of software? Is it possible to print labels with the iP 4920?

I’m sending this to all those who might be able to give some corrective action/ideas I might be able to implement. I would be grateful for any help offered. My wife has a greeting card ministry with our church and preprinted labels are a tremendous help to her.

Two thoughts:

  1. Have you tried printing on plain paper and then comparing to the labels? Sometimes the problem is just a paper feed problem with the label stock.
  2. There really is no need to use an Avery template for 5160 labels since Word has built-in label definitions for that and hundreds of other labels. Use Mailings | Create | Labels to access this one. In the Labels dialog, click Options..., select Avery US Letter, and then scroll down to 5160 in the list (note that the labels are sorted "alphabetically" rather than numerically). OK to choose that label and New Document to generate a sheet of labels. They're laid out as a table, so be sure you have table gridlines displayed so you can see the label boundaries.

Thank you Suzanne. I have tried all that you suggest, to no avail. I have tried starting from scratch

with Word, merging from Access to Word, creating labels in Access and also starting the Avery

Design Pro and manually creating labels. Nothing helps. It seems almost like the line spacing is off

in Word. The print preview in all attempts shows proper placement of text on the label, it all fits or

shows yet doesn't print out properly. Very frustrating!!!

Make sure that the Scale to Paper Size setting in the Backstage Print view is set to No Scaling.
Hope this helps,

At File | Options | Advanced: Print, clear the check box for "Scale content for A4 or 8.5 x 11" paper sizes."

There are four common causes of misalignment

1. You have added a header/footer to the normal template (rename the normal template)

2. The page size set in the printer properties doesn't match the page size of the label sheet.

3. You have a scaling option set in the zoom section of the print dialog

4. Your printer has poor paper handling. Some printers will slip when faced with label stock and thus are incapable of feeding the label correctly. Cleaning the rollers in the print path may help.

'3' is the most common problem, as has already been suggested.

1. Nothing added

2. Page size set correctly.

3. Scaling not enabled.

4. Printer prints other documents, photos, etc.

I took project to an older printer (Pixma iP3000)

on a different computer created labels right from

Access with no problem. Good alignment.

Thanks for your input.

Did you actually try printing the labels to plain paper as Suzanne suggested?

If the alignment of the text on a page so printed aligns with the labels, then "4. Your printer has poor paper handling" is the problem.  It may be possible adjust the pinch roller setting to overcome the issue.

Hope this helps,

Hi Doug,

I did try printing on plain paper before I made first contact with anyone in community.

I got an answer from Canon that didn't help. I used the same files and applications on

the other computer, running same OS and all went well. It seems like there is something

different about line spacing on this computer. It the problem repeats, so don't think

the rollers are slipping on the iP 4920.

The problem still exists after trying suggested fixes, but only with the iP. 4920. Using same computer with an iP 3000 and same 5160/8160 labels, printing alignment was excellent with only a slight adjustment to left hand margin needed. With my limited knowledge, I believe something is wrong with the 4920 driver for this particular function. The error occurs whether printing Access, Word, or Avery Design Pro. All software is current latest version.

Thanks to all who offered suggestions.
