Document Displays Differently on Other Computers

I'm having an issue with a document I created. The purpose of the document is to be a proposal template for multiple people at our company to use. I've formatted it just the way it needs to be and it looks great on my computer but when I send it to the other people who will be using it, the text displays differently than on my computer. We all have the same font installed, so I know it's not trying to use a replacement font. Actually, if I look at the document when it's open on another computer, the text that's displaying funny is the exact same font, size, and same spacing between lines so I can't for the life of me figure out why it looks so different. It's very important that it's consistent throughout the whole company but I'm not sure how to accomplish that.  I'm familiar with Word but only on a pretty basic level.

Hello Marie,

Thank you for choosing Microsoft Office Community and posting your query.

I would require more information about the issue for better assistance:

1) What happens when you review the text formatting on your computer and the recipient's computer? Do you find similar result?
Press SHIFT+F1 (then click the text with the formatting you want to review).

2) Are you using different Windows theme? Is the display setting on your computer same as recipients?

3) Are you using same printer which is used by the recipient?

4) Is this issue experienced only in Word or other Office/Non-Office applications?

Reply with necessary information and I'll be glad to further assist you.

Thank You.

A different OS, a different printer driver, a different version of the font, a different version of Word? FWIW, just from your screen shots, the "wrong" version looks more appealing to me.

Hi Daniel,

Thanks for your reply. Let me try to give you some more info:

1) These are screenshots from both PCs. They appear to be exactly the same.

2) I'm not sure what you mean by theme. How would I know if our themes are different?

3) Yes and no :) We are both using the same model of MFP, but they are two different units. We are both using a PS driver.

4) This is the first instance of this issue that we've noticed, as far as I know it hasn't happened with other files.

One thing you might check in the printer Properties; sometimes there is a setting to choose between using resident fonts or sending the fonts from Word as bitmaps. It's unlikely that this is a resident font, so that might be irrelevant. I would definitely ascertain that the version of the font is exactly the same on both systems.

It's clear from your screen shots above that the display on the two systems is slightly different for everything (the one on the right seems clearer), and that's just a display issue. If the document prints the same from both systems, then that's the real criterion, and you shouldn't agonize over the display.

Thanks Suzanne,

It is the exact same version of the font, and not a resident font. It doesn't just display differently, it also prints this way.

I guess I'm out of ideas! If you create a PDF from the file on the "good" computer, does it print correctly on the other one? Not that you can use a PDF for your template purposes, but that might help in troubleshooting the problem.
