Set up SMTP relay with shared mailbox?

We have a several third-party software systems and devices, printers, etc. that need to send emails. We want the systems and devices to use generic mailboxes, like *** Email address is removed for privacy *** or *** Email address is removed for privacy ***.

I've set up several Shared Mailboxes in Office 365 to be used. However, most of the devices need a username and password to authenticate with the SMTP server. But, Shared Mailboxes don't have usernames and passwords.

How can I set up these devices to use a shared mailbox via SMTP relay instead of having to set up licensed users??

Hi Christopher,

Generally, we can use SMTP submission or SMTP relay to allow a multifunction device, printer, or application to send both internal and external emails using Office 365 and Exchange Online to external.

For SMTP submission, we need an licensed account which has username and password. So we cannot use shared mailbox in this method.

For SMTP relay, we can use an unlicensed account such as shared mailbox. However, we need an Office 365 for Business plan, static IP addresses and to create connector in this method.

For your reference: How to set up a multifunction device or application to send email using Office 365.

Feel free to post back for any further concerns.

Best Regards,
Aaron

SMTP submission - This is not a solution, because it requires using a licensed account and setting up a licensed account for a printer doesn't make any sense, because printers and devices don't need to use Office... unless they become self-aware like skynet.

SMTP relay - I don't see how getting static IP addresses from our ISP for *every* device and application in the company, and then manually setting up connectors for every one of those IP addresses is a *practical* solution.

Hi Christopher,

Thanks for the updates.

Generally, most devices or applications are unable to use a certificate for authentication. To authenticate your device or application, use one or more static IP addresses that are not shared with another organization.

If you need to use unlicensed accounts to set relay with multiple devices and applications, the official workaround is to use Office 365 SMTP relay and you just need to get one static IP address for these devices and applications.

Also, about the connector, you just need to set one connector and then add the static IP address in the connector to achieve Office 365 SMTP relay for multiple devices and applications.

Best Regards,

Neo
