Email Signature - Embedded images (Outlook 15.26 Mac)

Hi there,

We've been having trouble when attempting to update our company email signature through the preferences pane in desktop version of Outlook; namely any linked images in the signature are being downloaded, processed and embedded as a file in outgoing emails. This is changed behaviour from previous versions of Outlook.

The two main issues with this are:

  1. The downloaded image is being re-processed by Outlook when pasted into the signature panel - this is the blocker
    • The original image is retina optimised, the processed image is not. the result is a blurry image on everything but a standard resolution display
  2. Every email that is sent appears to have an attachment
    • this makes it difficult to search 'with an attachment'
    • updates become a manual process across every machine in the business

The above isn't an issue with the online version of Outlook, however as signatures aren't synced we can't work around this way. I've also tried looking for some kind of signature file we might update manually but haven't been able to find anything.

Hi Som,

About "Every email that is sent appears to have an attachment", if the email sent from the Mac Outlook client has a signature with images, it will have an attachment icon. It’s an expected behavior.
Regarding "The downloaded image is being re-processed...", I will continue consulting our related team. If there is any update, I will let you know.

Hi Barry,

Absolutely, understand this is expected behaviour if the image was intended to be embedded. In our case it was intended to be linked, similar to any rich email you might receive from a company (consider the marketing emails sent by Microsoft which do not arrive with attachment symbols). Seems counterintuitive to suggest we are attaching something to the email.

Anyway appreciate the follow-up and look forward to future updates.

Regarding "The downloaded image is being re-processed...", I’d like to confirm whether you are resizing the image after inserting it into the signature.

Hi Barry,

No we are not resizing, just copying and pasting from a rendered HTML template with an image.

Steps to reproduce:

  1. Make sure you have a retina screen
  2. Copy and paste a HTML signature from a browser into a new signature in Outlook (including a high-density externally-linked image .. example below), the image will appear sharp when pasted
  3. Close and reopen the signatures pane, the image will now appear blurry .. it has been processed and embedded
  4. Create a new message and select the new signature and send it to yourself
  5. View the source of the email, the image will be embedded instead of linked and no longer high density

An example HTML template:

Note the actual dimensions of the image are 114x25 ... by squeezing it to 57x13, half it's natural size, the image remains crisp on retina displays (i.e. all handheld devices and most modern laptops and desktops).

Hi Barry,

Is there any further information on the issue? It is quickly becoming a major issue for our organisation.

There are third party solutions available for subscription on a per-user basis, however as this is an introduced bug we are a bit hesitant to pay for a solution.

Any information would be much appreciated!
