Hello,

To have an idea on how much email usage you are using please switch back to Hotmail, perform the following steps with Outlook.com displayed in your browser:

1. Sign in your account.

2. Click on the gear icon in the upper right corner of the page next to your name.

3. Select the last item in the menu, Switch back to Hotmail.

4. Hover your mouse cursor to Folders, located at the left side of Hotmail and click the Gear icon.

5. Click Manage Folders.

6. You will be prompt to your different folders and the sizes of each, the summation at the bottom part is the total email usage of your account.

To go back to the new Outlook.com mail interface, kindly click Options in the upper right corner of the page and select Upgrade to Outlook.com

Microsoft Outlook includes email storage that expands to provide you with as much storage space as you need. Your inbox capacity will automatically increase as you need more space. To know more, please refer to this link.

I recommend that you delete unnecessary/unwanted emails to free up your storage limit and then try so send an email again. If issue persists, what is the exact error message you've encountered when trying to send an email.

Thanks!

Thank you,
Ken – Senior Support Specialist

Hi emir-aamir,

Thank you for posting here at Microsoft Community.

Please be informed that the feature to know how much email usage you are using on Outlook.com is not available. However, we greatly appreciate your thoughts about Outlook.com. Your comments and suggestions are very important to us. Feel free to post on our feedback page.

On the other hand, as stated by Ken_Rey_C., Microsoft Outlook.com includes email storage that expands to provide you with as much storage space as you need. Your inbox capacity will automatically increase as you need more space. Take note that it depends on the reputation of your account. To build a good reputation, I suggest you to use Outlook.com regularly and send emails that do not contain suspicious contents that might trigger our spam filter.

Please let us know if you have any questions.

Regards.

Recently my boss's email address (which ends with @hotmail.com) has been sending this back to me "Final-Recipient: rfc822;*********@hotmail.com
Action: failed
Status: 5.2.2
Diagnostic-Code: smtp;552 5.2.2 This message is larger than the current system limit or the recipient's mailbox is full. Create a shorter message body or remove attachments and try sending it again."

He has had this address for more then 7 years.

If his email storage expands based on demand, why would I get this back?

Hi b_schwartz,

Welcome to the Community.

From what I understand, your having an issue sending messages from your account and you also receive a bounce message as well.  Allow me to investigate the issue.

Since you are receiving a bounce message, please post the full message header in the private message area I created for you. The details from it can provide us information as to why this is happening on your end. To view it, please sign in using a Microsoft account and click Private Messages tab across All Replies.

To get the full message header, just right-click on the unopened message from the message list then choose View message source option.

In line with this, I recommend reading this article which provides information on interpreting bounce messages.

With regard to the storage in Outlook, as what the previous moderator has informed you it will expand according to the user needs which will depend on the reputation it has on the system. The user should make it a point to use the account properly and not engaging into any suspicious activities.

Feel free to reply if you need clarifications.

Thank you.

I think most users already know this.

Could you be more specific regarding how quickly, when and why storage space increases, and what exactly would constitute "suspicous" activity? For example, is setting up a POP account to migrate large amounts of emails from a previous address "suspicous"?

If I set up a new outlook.com account, transfer 5GB of data from an old email account via POP to my new account, how long will it be before that account becomes usable? Ie. How long before I receive emails which would cause my mailbox to exceed 5GB?

If you could provide answers in number of hours, days or weeks and with concrete usage examples that would be very much appreciated, by everyone I think.

Hi Arman,

Thank you for contacting us for your question. We apologize for the untimely reply. Let us help you on your query.

Let me try to answers your questions as much as I could. First, about the mailbox size: as mentioned by Ken_Rey_C. in hos post, the mailbox automatically adjusts the mailbox size depending on the needs of the customer provided the account has high reputation. As for how quickly the account would do this, again it would depend on the account's reputation.

Suspicious activities would refer to frequently sending emails in bulk, sending spam to contacts, or if the system recognizes inconsistencies with the IP addresses used when accessing the account, just to name a few. Migrating emails doesn't count especially if the emails on the other account is already that many to start with.

It may take some time for the email transfer to finish if you'd do it through POP. Keep in mind that Outlook.com checks POP mails every 30 minutes and fetches 50 emails per interval. Basically, the time to finish would vary as it will not be based on the emails' size but the number of emails to be transferred. You should be able to use your email while it's doing this. If you've reached around 5GB and your account hasn't adjusted yet, you may encounter issues sending or receiving emails. You should be receiving an email if your mailbox is quickly growing, though, which would serve as a warning if you're almost reaching your mailbox limit.

I hope I provided enough answers.

Let us know if you need further assistance.

Thank you.

Thanks for your reply and for clearing some of the issues up. The main reason that I, and I think there are others who feel this way, am dissatisfied with the mailbox size system is because the ability to check our mailbox usage appears to have been disabled solely for marketing purposes. Enabling such a feature would mean admitting that the mailbox is not in fact unlimited, so instead Microsoft appears content to pretend that the mailbox size is unlimited and keep us in the dark about when we're going to run out of space. This is disappointing; user experience should be the primary objective in designing outlook, not secondary to the need to have a tick next to outlook and a cross next to Gmail next to "virtually unlimited storage" on a marketing page.

I do agree that this is a marketing scheme. The mailbox is not unlimited and it stays full for months it seems.

Hi there

I am having a problem with capacity in Outlook.com.

I recently moved my business domain over to Outlook.com in February with great reviews and excitement over great email service and the potential for expanding capacity.

As we run a modeling agency, we often need to send large photo files or receive large files. We do try to use OneDrive or other online storage when possible but often times we cannot control how people contact us.

One of our accounts for the CEO has been having huge issues of bounce backs to clients stating the same error as noted here.

Action: failed
Status: 5.2.2
Diagnostic-Code: smtp;552 5.2.2 This message is larger than the current system limit or the recipient's mailbox is full. Create a shorter message body or remove attachments and try sending it again."

We are at a loss of what to do.

Email is critical for our business and we cannot change the need for high res photos and so forth.

While we are new to Outlook.com we have been in business 5 years in Toronto Canada and are a legitimate company. We do not spam and in fact use email services when sending out marketing emails to ensure we are not spamming (www.mailchimp.com)

So this has become a huge frustration that all of a sudden despite an email from Outlook.com that we have increased your inbox size, we now are constantly getting bounced emails on this one account. We need to get this fixed as it is severely impacting out ability to do business.

How can we prove our reputation? How can we resolve this situation.

Would hate to have to migrate away to another email provider.

Please help!

Thanks so much
