Microsoft XPS Document Writer not showing up in my Win11 Printers&Scanners

Microsoft XPS Document Writer not showing up in my (Win11 Home Build 22621) Printers&Scanners, this is a printer QuickBooks uses to create PDFs.

I've already installed the Optional Features:"XPS Viewer" and rebooted. Is there a missing step or a way to force install of the Microsoft XPS Document Writer?

Here are the steps to add Microsoft XPS Document Writer manually:

  1. Press the Windows key and type "Printers & scanners" and click on it to open.

  2. Click on "+ Add a printer or scanner" at the top of the page.

  3. After it searches for a bit, click on "The printer that I want isn't listed."

  4. In the new window that pops up, choose "Add a local printer or network printer with manual settings" and then click "Next."

  5. Choose "PORTPROMPT:" (Local Port) from the drop-down menu and click "Next."

  6. In the "Install the printer driver" page, choose "Microsoft" under "Manufacturer," then "Microsoft XPS Document Writer v4" under "Printers," and then click "Next."

  7. Choose "Use the driver that is currently installed (recommended)" and click "Next."

  8. Enter a name for the printer if you wish, or leave it as the default, and then click "Next."

  9. Choose whether you want to share the printer or not, and click "Next."

  10. Decide if you want to print a test page (not necessary, but can be helpful to make sure everything is working correctly), and click "Finish."

I have the same issue, can't print / send PDFs from QBs because XPS printer / driver is not installed any longer.

I followed your steps (thank you) and I received an error message saying "Unable to install printer. The handle is invalid." when trying in add Microsoft XPS Document Writer v4.

Can you advise on a workaround?

I initially got these same options - then I clicked "Windows Update" and after a few minutes the Document Writer v4 showed up.

I have tried all these things. I can install Microsoft XPS Document Writer v4 following the steps above but only if I enter the name of the printer. Even after an update, Microsoft XPS Document Writer v4 doesn't show up. I am running Windows 11 Pro so I can remote access my office system. Makes life easier. But since installing Windows Pro 11 on both systems, Microsoft XPS Document Writer v4 isn't happening. I have rebooted my system after installing. I've tried everything I can think of. Even when it's installed it won't read with QB Pro 2024. AND - when I run the QB Tools Hub, it removes Microsoft XPS Document Writer v4 as an option in QB.

In short, I can't print from QB. And THAT is a problem.

I just don't know what to do.

Anyone here having that kind of problem?

I was having the same issues; Windows 11 Pro and Quickbooks Premiere 2021. Would not print, or email.

Ran the QB troubleshooter - no luck.

Added the Windows XPS Writer v4, per the instructions above (Had to do the Windows Update before it became an option).

Installed the XPS writer.

I ran the QB troubleshooter again just for kicks.

Now it prints and emails!

This worked for me as well - re-add the XP Writer x4 manually (after Updating drivers list) and then re-ran the Hub Tool PDF repair. Thanks!

i am having same issues, I have updated 2 times and still wont pull up the XPS Writer. Can anyone help

Launch optionalfeatures.exe and enable the checkbox for "Microsoft XPS Document Writer".
