Why are cc recipient seeing my previous emails?

I realised that while I was in series of conversation with group of people, when I dropped those that I didn't want to include in further conversation and was conversing with the rest. when it came to the issue I wanted those dropped to know and I included them again, to my surprise, the newly copied recipients were able to see our other conversation which they were excluded. I am wondering why this has to happen this way?

Based on your description, it seems like you’re using the same email thread/conversation when you originally exchanges messages with the recipients of the email until you removed some of them and add them again in the CC field of the same email thread. Is that correct? Can you confirm if this would be the case? If not, you may elaborate further and provide us details.

 

If that would be the scenario as mentioned above, then it seems that it’s working as expected since the email trail is the same when the new recipients were added back to it.

Yes it is the same email thread. with the intention to copy only relevant recipient in the follow up emails.

I think this is rather bad and does not protect GDPR.

What is the essence of exclusion if when you are brought back to the conversation you will have access to what was previously discussed.

This happens only in outlook and is already causing serious damage in our organisation

I do hope Microsoft will look into this

Meanwhile in this particular circumstance, there had been conversation up the strand that a set of recipients were excluded, and the excluded recipients got included while a lower part of the conversation (previous conversation within the strand) was used to respond, and this part was maintained in subsequent conversation with the previously  excluded persons, will it be possible at any point for them to see the upper conversation that had taken place before their inclusion?

We truly understand your concern with the data protection that’s related to the content of the email wherein it shows the previous exchanges at the time the associated recipient was removed and re-add it to the conversation afterward. To confirm, are you using a work account with an Office 365 Business subscription? The reason we asked is that there may be settings that can be set for this if you’re using a business/work account. Also, which Outlook platform are you using in sending the emails? Is it via the Outlook desktop application or through the Outlook.com website from a browser?

As the way email threads can be managed is by setting the replies and forwards option for the email to not include the previous message in the reply. You may check this article: Change how the original message appears in replies and forwards that for the Outlook desktop app version.

Regarding your second reply to us, if you have a different setup or way on how the email threads are presented, it would be better if you could share a screenshot or images of it to get this further explained. You may send it via Privat Message for security purposes and to keep it private. We’ve sent you one and to check the private message, go to your Profile page and click on View private messages.
