Transport Rules not affecting emails forwarded at mailbox level

Looking for some help on this.

We are using Office365 - Exchange.

We have some mailboxes and shared accounts that are set to forward to an email address outside of our domain.

I have Transport Rules (Mail Flow>Rules) setup on Office 365, Exchange to append the subject line under certain conditions for these Office 365 email accounts.

This rules does its thing on the target emails, but not on the forwarded emails.

Any idea if this is even possible?

In Office 365, to prevent message loop, the Exchange Online inbox or transport rules sometimes will not work on forwarded emails.

To confirm your scenario, can you please tell me your exact email flow so I can confirm whether it is an expected behavior or an issue? Thanks for your time.

Thanks for digging deeper.

The email flow is emails coming into *** Email address is removed for privacy *** has an account forward set for *** Email address is removed for privacy ***.

My transport rule checks for *** Email address is removed for privacy *** AND if SCL=6+ THEN appends Subject line with [TEXT]

So the flow would be:

Transport Rule appends subject line and delivers to mailbox

Mailbox account forwards to otherdomain un appended Subject line

We have tested "Keep a copy of forwarded email in this mailbox" On and OFF.

We have tested with Contacts, Shared mailbox and Regular mailbox - all Office365 accounts).

What do you mean by "My transport rule checks for *** Email address is removed for privacy ***"? Can you please send us the screenshot for the transport rule your set? Meanwhile, is this *** Email address is removed for privacy *** an external email address?

Thanks for the reply.

Please do not use the auto forwarding feature but use the inbox rules to forward the emails.

Click settings -- Mail -- Inbox and Sweep rule. Create a new rule to apply to all messages and forward to the external mailbox. Please test it and let us know the results.

I tested your suggestion and the emails that end up in the Junk folder are not getting forwarded.

Do you have a best practice established to accomplish the following:

1. Prepend Subject line with [TEXT] if SCL > 4

2. Redirect or forward (without FW: appended to Subject) All emails to other email account not within domain

If the SCL is larger than 4, it is the expected behavior that it will be in the junk email folder.
