Outlook New isn't showing all my emails in folders

I have several folders, and today not all of my emails are showing within them. However, when I log into my Private Email I can see that these are in there, so presumably this is a case of not syncing emails past a certain time (albeit I can see older emails in other folders).

Is there a simple fix (ie sync) to re-download my emails to my laptop? I am nervous, as recently on a computer swap not all the folders in Outlook synced back online and were lost, so I don't want lose these also.

Here are some steps you can take to troubleshoot and potentially resolve the issue:

Check Sync Settings:

  • Go to File > Account Settings > Account Settings.

  • Select your email account and click on Change.

  • Ensure that the Mail to keep offline slider is set to All.

Manually Update Folders:

  • Right-click on the folder that's not displaying all emails.

  • Select Properties, then go to the General tab.

  • Click on Empty Cache to force Outlook to re-download the items.

Repair Your Outlook Profile:

  • Close Outlook.

  • Go to Control Panel > Mail > Show Profiles.

  • Select your profile and click on Properties > Email Accounts.

  • In the Data Files tab, select your email account and click Settings > Repair.

Rebuild the Index:

  • Go to File > Options > Search.

  • Click on Indexing Options > Advanced.

  • Under the Index Settings tab, click Rebuild.

Update Folder List:

  • Go back to the main Outlook interface.

  • Right-click on your email account in the Navigation Pane.

  • Select Update Folder List to refresh and sync all folders.

Manual Send/Receive:

  • Click on the Send/Receive tab at the top of Outlook.

  • Select Update Folder to manually force a sync.

Disable Offline Mode (if enabled):

  • In the Send/Receive tab, check if you are in Offline Mode. If so, click on it to disable.

Check IMAP Folder Subscription (if applicable):

  • If you're using an IMAP account, go to the Folder tab.

  • Click on IMAP Folders and then click Query.

  • Ensure that all necessary folders are subscribed by selecting them and clicking Subscribe.

Wait for Synchronization:

  • After performing these steps, allow some time for Outlook to sync all emails and folders completely (this may take a few minutes).

Remove and Re-add Account:

  • If the above steps do not work, consider removing your email account from Outlook and then adding it back again. This can sometimes resolve persistent sync issues

kinda annoying that Microsoft made the "mail" app move to "outlook (new)", because now it will get confused with the full version of "outlook", so instructions like "file menu > account settings" for keeping no limit offline or rebuilding cache are useless advice to outlook NEW people (like an AI answer that gives you hope, but is more like regurgitated misinformation)

I feel you: it's very frustrating to not have control over what "sync" deems important (one folder seems empty, because it only has some old emails, yet another one might have an older email in it; but, we the people know we put important emails in that folder, so we could easily access later, so are they lost?! kinda scary)

note: in "outlook (new)", in settings (the cog icon), in general, see "offline":

you can pick "180 days" in that drop down menu for "days of email to save" (but lacks a "no limit" or "all", like outlook has; and note, you'll need to make whatever folder a favorite: right click on it, and add to favorites), so that's at least something

TWO CHOICES (in my opinion):

sticking with MS: use edge and webmail just for the archive/old stuff (and certainly continue to use the convenience of Outlook NEW, aka "outlook (new)", for the daily inbox checking, and trust sorting emailing into folders--just don't think you'll always be able to access all emails with it)

or fugedaboudit MS (and having to use two methods to access email): go to the Microsoft Store, search for "Mozilla Thunderbird Email"; small learning curve, but troubles over (no thanks to MS, who's like a three trillion dollar company--the people will pick up your slack for free)

we're all just people here; doubt anyone at Microsoft is reading these posts

unsure what you need to speak about and to whom that should be directed, but one way to start a non-free conversation with Microsoft would be:

Customer service phone numbers - Microsoft Support

(but my advice, don't try to bend the New Outlook [free desktop version] to your will, just use a program like Thunderbird)
