outlook 365 will NOT sort into categories/rules DO NOT work automatically

I am trying to prioirtize email messages of a shared inbox by creating rules to categorize them. Howver in Outlook 365 the rules do NOT automatically run.

What gives? I have to manually run the rules to be able to use them.

I havve tried setting up the rule in the desktop version of 365, in the web version of 365.

I have tried specifiying that the rule is for a specific inbox.

NOTHING WORKS.

Dear Jennifer Bristow:

Good day! Thanks for posting to Microsoft Community.

As per your description, I understand that you are facing issue with invalid rules created on shared inbox. In general, rule will work for incoming emails and the emails that have already existed in mailbox.

If the rule you created cannot affect email in your inbox folder, before moving forward, to give feasible solution and better understand the issue, may l collect below information from you? Thank you so much.

  1. What kind of rule did you create? If you have any time, would you mind sharing with us that rule, such as screenshot or text only? Manage email messages by using rules - Microsoft Support  Inbox rules in Outlook Web App - Microsoft Support

  2. What kind of shared inbox are you using? Shared mailbox or any other? About shared mailboxes - Microsoft 365 admin | Microsoft Learn

Note: If you would post any screenshot here, please kindly remove personal information.

Thank you for giving requested information. Wish you a healthy and happy new year!

Sincerely,

I have the same issue. I like to create categories 1. invoices due 2. invoices paid 3. Projects for Kat 3. Projects for Marie ... etc etc ... and then emails without categories or new emails that come through should be at the top of the email list. This was something that used to be an option so I could look at a section of emails and still be able to scroll through all emails to keep and overview on their progress. I can no longer do this without having to filter it per category. I want to be able to sort via category, and not have to use filter option at all.

Is this something that was removed in the last update? Will it be added back in?

thank you

Marie

The issue has a work around. I now know I have to seperately log in to the shared account to create the rules for that account.
