Issue with redirecting and forwarding Emails

I am writing to seek assistance with an issue I have encountered while using Microsoft Outlook. Your expertise in resolving this matter is greatly appreciated.

The primary issue I am facing involves email forwarding. Specifically, when I send an email to an address that redirects or forwards messages back to my own email address, it results in a looping situation where the email is sent back to my inbox, causing unnecessary clutter and inconvenience.

In addition to the above issue, there is a related problem that compounds the situation. If the sender sends an email to multiple redirection email addresses, all of which include the same members, it leads to the same email being received multiple times. This duplication of emails is causing confusion and inefficiency in managing my inbox.

I have attempted various configurations within Outlook to address these concerns, but I have not been successful in resolving the issue or preventing the duplication of emails.

I kindly request your guidance and expertise in resolving these issues. Please provide instructions or recommendations on how I can set up my Outlook account to prevent forwarded emails from returning to my inbox, as well as how to avoid the duplication of emails when sending to multiple redirection email addresses with the same members.

Your prompt assistance in resolving these matters is highly valued, as it will significantly improve the functionality of my Outlook email account and enhance my email management experience. I am available for any additional information or clarification you may require.

Thank you in advance for your support and guidance. I eagerly await your response.

We as a company were using Gmail services with no problem and all of these issues were not present.

Since we made the transfer to outlook I've been getting these issues.

Regards,

Karam

Hello I’m Adeyemi and I’d be happy to help you with your question. It can be frustrating when emails are not being delivered as expected. One way to prevent forwarded emails from returning to your inbox is to create a rule in Outlook that automatically moves or deletes these emails. Here's how you can do it: 1. Open Outlook and go to the Home tab. 2. In the Move group, click Rules, and then select Manage Rules & Alerts. 3. Click New Rule. 4. Under Start from a blank rule, select Apply rule on messages I receive, and then click Next. 5. Select the conditions that you want to apply to forwarded emails, such as "with specific words in the subject or body" or "sent to people or public group". 6. Click Next, and then select the action that you want to apply to these emails, such as "move it to the specified folder" or "delete it". 7. Follow the prompts to complete the rule setup. To avoid duplication of emails when sending to multiple redirection email addresses with the same members, you can try using a distribution list or a contact group. This allows you to send an email to multiple recipients at once, without having to enter each email address individually. Here's how you can create a contact group in Outlook: 1. Open Outlook and go to the Home tab. 2. In the New group, click New Items, and then select More Items > Contact Group. 3. In the Name box, type a name for the contact group. 4. On the Contact Group tab, in the Members group, click Add Members, and then select the recipients that you want to add to the group. 5. Click Save & Close. I hope this helps! Hi Adeyemi, thank you for your support.

To explain the situation thoroughly,

In our organization we use Emails that customers can contact, Customer support and Operations for instance, if I'm a part of both redirection rules, I will get the Email twice.

So creating a distribution list -to my knowledge- is only for internal use within the organization and isn't an actual group it is just a shortcut for not typing all Emails, somewhat like a broadcast. Right?

With this in mind, is there anyway we could avoid the duplication?

Kindly let me know at the soonest.

Regards,

Karam

Thank you for explaining the situation in more detail. You are correct that a distribution list is primarily used for internal communication within an organization and acts as a shortcut for sending emails to a group of people. In your case, if you are receiving duplicate emails due to being a part of multiple redirection rules, one way to avoid this is to create a rule in Outlook to automatically delete or move the duplicate emails. 5. Select the conditions that you want to apply to the duplicate emails, such as "with specific words in the subject or body" or "sent to people or public group". 6. Click Next, and then select the action that you want to apply to these emails, such as "move it to the specified folder" or "delete it". 7. Follow the prompts to complete the rule setup. Adeyemi
