How can I change the order of an Excel 365 Data Table please?

Welcome to Microsoft Community.

To change the order of a Data Table in Excel 365, you can sort the data based on one of the columns. Here’s how you can do it:

  1. Click anywhere within the Data Table.

  2. Navigate to the “Data” tab on the Ribbon.

  3. Use the “Sort” options to reorder your data based on the values in the selected column.

Additionally, if you want to sort by more than one column, you can use the “Sort” dialog box to add levels and specify the order for each column. Here's how:

Sorting a Data Table will rearrange the rows based on the criteria you’ve set, so make sure this is what you want before you proceed.

When I do as you advise and navigate to the Data tab, all of The Sort & Filter Options are Greyed Out, see below:


I am trying to move the DPI row to the bottom.

Is the worksheet protected to prevent changes?

To check if protected, on the Home ribbon, select Format and if there is an option to Unprotect then the worksheet is protected. To unprotect, if a password has been applied then you will need to know the password.

I am at a loss to know what has occurred. In your screen shots, most of the ribbon, excepting Format, is greyed out (disabled) and that is why I assumed that the sheet is probably protected.

I suspect the data you’re trying to sort is partially within the Table and partially outside, but I'm not sure about that. May I check your workbook? You can upload your files to any cloud service and share the link with us, such as OneDrive, Google Drive, Mega, Dropbox, or any other platform you prefer.

By the way, if the data originates from an external data source, Excel may be unable to sort it.

Hi Yuhao Li,

The data for the chart is all from a worksheet contained within the workbook, see the following screenshot.

It is only the order of the chart data table to Kgs-Lbs-BMi from top to bottom.

The file is stored on Microsoft Onedrive and I would will be willing to share this with anyone if you are willing to tell me how to do this please.

The chart is in the 'May-Jun 24; tab but the others are similar.

There is no option in Excel to sort data tables in a chart, the order follows the order of the series.

I just thought that the Up and Down arrows would sort the order. Not a big problem, just a preference for me.
