Page breaks

Can page breaks be added automatically to a word document?  I have a series of articles that I have put in manuscript form and need page breaks at each article which are headed by a centered title.

Each article's title should have the same paragraph style applied to it, and that style should not be used anywhere else in the document. If that's the case, then modify that style's definition. In the Modify dialog, click the Format button at the bottom and click Paragraph in the dropdown menu. In the Paragraph dialog, go to the Line & Page Breaks tab and check the box for "Page break before".

Jay, Thanks for your quick response.  First, I have to say I think I already have some page breaks in the document.  At least there are dotted lines in the draft view.  I need to get rid of all page breaks first.  How do I do this??  Then the publisher has the following statement in the author's guide: 

You must insert a Page Break between chapters. (Please note your footnotes
will not restart in each chapter; this will be corrected during typesetting.)
To do this, please use the following steps:
i. Insert page breaks between chapters by using the drop-down
menu insert > break > page break.

You say I can do this for the whole document by going to Modify dialog, click format button at the bottom.....

Where is Modify dialog found??

You haven't said which Word version, but in all recent versions, right click the style name in the Quick Styles selector on the Home tab of the ribbon and select Modify.

Another possibility is to use http://www.gmayor.com/Boiler.htm  If all the documents are based on the same template and thus have the same styles, it is an easy method of adding a raft of documents to the same document. Check the box for each document on a new page and that's what you will get.

I did as you said and got to modify.  What do I do then when the modify box opens up? Again I am trying to make sure the document is clear of page breaks so I can install page breaks at each chapter. 

I even down loaded the site you suggested but it tells me nothing of doing the above, or I am not computer savy enough to see how to do it.  THanks

It is important you identify what version of Word/Office you are running so we can provide specific instructions on how to modify the style to add the "Page break before" attribute.

"Draft view" suggests you have Office 2010 or earlier.

Most people are using 1 of 3 Office versions: 2003, 2007 or 2010.  There is a major split between in the user interface between 2003 which is the “old” Menu system and 2007 which uses the “new and improved” Ribbon.

I will provide simple guidelines on how to quickly identify which version of Office you are running.

 

How Can Identify Office / Word 2013

If you are familiar with earlier versions of Office, you will immediately notice the color of the Ribbon and the icons are slightly “simpler” in design.

If you have not customized it, you will notice that the tabs are all Upper case (it is a quick fix to “correct” that).

The Tabs in the Word Ribbon have a new tab: File, Home, Insert, and Design, Page Layout, References, Review, View

To find the exact version information, File menu > Account command > About Word button. The About dialog will list the detailed version information. It is essentially the same as early versions.

 

How can I Identify Office / Word 2010

The Word (application) icon has returned, to the left corner of the application window, eliminating the “Office” button. The rest of the application title bar is the same as 2007: QAT beside Application icon followed by the Filename and application name centered. Unlike 2007, there is very little contrast in the background color of the inactive tabs compared to the title bar. The active tab is still highlighted by the light backgound color.

The Tab names are: FILE, Home, Insert, Page Layout, References, Mailings, Review, View

The ribbon is essentially the same as in 2007. The main difference is that the contrast between buttons and the background that was apparent in 2007 has been muted so that the buttons completely merge into the background.

 

To find the exact version information, File menu > Help command > In the Backstage Pane will list the detailed version information about half way down. If you click on the hyperlink hidden under the text “Additional Version and Copyright Information” below the version number. This will display the “About” dialog box. It is essentially the same as early versions.

How can I Identify Office / Word 2007

The Word (application) Icon has been replaced in the Upper left corner of the application window by a big round 4 color “Office” button (it is clickable!) that spans 2 rows. Beside that are some icons for the “Quick Access Tab (QAT)” (note: optionally it can be relocated below ribbon). Beside the QAT in a light background is the Application title. The File name followed by “ – Microsoft Word” is centered in the Application title bar. Immediately below that is the “Tab” bar. Each tab is a graphical redesign of the old menus. The “active” tab has a light background, the rest of the inactive tabs are in a darker contrasting background color.

The Tab names are Office Button, Home, Insert, Page Layout, References, Mailings, Review, View

Immediately below the tab names is the new “Ribbon”. It is subdivided into “Groups”. Within the group, small and large icons and text lables.  The icon organization is dynamic. As you resize the width of the application window, the icon layout is adapted. Icon sizes and locations will change.

 

To find the exact version information, Office Orb > Word Options button > Resources option > About button This will display the “About” dialog box. It is essentially the same as early versions.

 

How can I Identify Office / Word 2003

In the title bar you will see the Word Icon, then the file name followed by “ – Microsoft Word”, starting at the left side of the application window. Immediately below it you will see text labels for the menu: File, Edit, View, Insert, Format, Tools, Table, Window, Help

To find exact version information go to Help menu > About Word command to display the “About” dialog.

That being said, we also have to identify the type of "page breaks" you are seeing.  If they are "manual" page breaks that someone inserted, then yes, you should delete them. But if all you are seeing are the automatic page breaks, there is nothing you can or need to do about them.  If need be, you can insert manual page breaks to force an early break. Or better yet, use the "keep together" and / or "Keep with next"  paragraph attributes to force breaks in desired ways.

Can you provide a screen capture of the "page breaks" you are referring to and paste it in here for us to see.

The site owners have listened and made the process of posting images easier (but not easiest, yet).  The link above details the process. 

The replies are HTML files, you cannot paste images directly into them like a Word DOC(X) file. Instead you have to provide, in one form or another, a HTML link to a picture file that is available on the internet.

In short form, the image must be in PNG, JPG, GIF, and BMP format.  Use the “Add Image” button that is on the same line as the “Bold”, “Italic”, “Underline” feature buttons.

So, you will first have to save screen captures to a file on your HD or the internet, ie skydrive, before you can insert them in the discussion using the “Add Image” button.

What Jay was suggesting was that you modified your Title style i.e the style used for the first line only of each sub document to include a 'page break before'

This will force each document to a new page when they are combined.

If there are page breaks already in a document can be located using the Find and Replace function in Word. Search for ^m (manual page break) or ^b (section break).

The add-in I suggested works on a different premise. It combines documents and separates them (optionally) with next page section breaks.

I found in find and replace ^m. Then there is a line for replace. What do I replace ^m with? I assume this has to be done before I can do the "page breaks before." Ed

You have  a couple of options.

Either use some unique characters ie !@#$%, to make it easy to identify where these breaks were (if that is of any interest.

Otherwise, you should replace with a para mark, ^p.

Have you figured out how to modify the style to use the "Page Break Before" attribute?

Ok this is begining to be a long lesson in word procesing elements.  I first used the para mark ^p and hit replace.  Then went to view and there were still dotted lines within the text. I assume these were page brakes?! The chapter were all one after the other. Not like I had them on the original manuscript, i.e. at the end of each chapter I did hard returns until the next screen page appeared and then started another chapter (article). 

Then I went to the paragraph button (arrow) on the tool ribbon and checked the box "page break before".  Back to view, Still didn't show page breaks before each chapter heading which is in the center of the page.  Puzzled
