Question

Can NOT compress pictures in Powerpoint 2007, but CAN compress in 2003

Applies To: Office | Office 2007 | Microsoft Office PowerPoint | Windows XP

I have several large inserted jpg images in Powerpoint 2007. I have used the Compress Pictures options following the directions at:

http://office.microsoft.com/en-us/powerpoint-help/reduce-the-file-size-of-a-picture-HA010192200.aspx?redir=0

[  ] Apply to selected pictures only
Compression options:
[X] Automatically perform basic compression on save
[X] Delete cropped areas of pictures
Target output
[X] E-mail (96 ppi) minimize document size for sharing

Yet the pictures will NOT compress and will NOT remove the cropped areas after saving. If I do this in Powerpoint 2003 it works perfectly but not 2007. I have tried it in Excel, Word & Powerpoint 2007 and the compression does not work in any of them.

Answer

Thanks for confirming!

If you're dealing with CMYK images, I think the quick solution will be to select the image, CTRL+X to cut it, Ctrl+Alt+V to paste special and choose JPG or PNG. That should create RGB images on the slide, and those should compress. (They did for Nixk when he/she did it, anyway!)

Probably this process could be made into a macro to make the it faster to do.

How did you insert the image onto the slide?

What kind of picture is it?

Is there more than one of the same image in the file?

If you inserted the images then saved the presentation in 2007, it's already compressed the images at whatever the default setting is and probably won't compress them again.

As a test, start a new presentation, insert a couple of the same pictures, crop, then compress BEFORE saving.

The pictures are JPGs. I have tried it with a new Presentation and just the one JPG. I have tried both Insert File and Paste. I noticed that in Word 2007 if I right click the picture, select Format Picture and under the Picture tab there is a Compress Button. This "Compress Button" in Word 2007 works and reduces the picture size to 1/10. But in Powerpoint right clicking on the picture and format picture there is no "Compress Button" (that I can find) it all seems controlled by the Picture Tools, Format, Compress Picture on the menu bar. This option does nothing in Powerpoint or Word that I can tell.

I also have the same problem, powerpoint and word does not compress or delete the cropped areas of the picture (although I am using tiff pictures).

Please confirm which version of PPT you're using.

How did you insert the images onto the slides?

I am using Office 2007 on Windows 7. Images were created using Adobe Illustrator and exported as high quality tiff files and inserted into powerpoint (or word) using the insert picture option.

I ended up solving it by inserting the picture, copying it, pasting it as PNG, then deleting the tiff file. This way, the picture did become compressed and the cropped areas were removed.

Hm, that's odd. Were the TIFs CMYK, maybe? (Just trying to figure out what might cause the images not to compress.)

Yes, the images were CMYK. That seems to be the cause, I saved a new tiff picture with RGB and now it compresses like it should. Thank you.

Ahhh, how interesting! I wasn't sure if CMYK would affect things or not. Thanks so much for posting back with this information.

This is definitely the problem CYMK vs RGB. I had my art department prepare two JPGs, one as CYMK the other as RGB. The CYMK will NOT compress in Powerpoint 2007 & Excel 2007. RGB compresses fine.

Table of Compression working or not

Office 2007                CYMK           RBG

Powerpoint 2007        N                    Y

Excel 2007                 N                    Y

Word 2007                 Y&N              Y (if old style compress option Y, if new option then N)

Office 2003

Powerpoint 2003        Y                    Y

Excel 2003                 Y                    Y

Word 2003               Y                    Y

In Word 2007 sometimes if I right click the picture I get the old style of Compress button as in Word 2003, in that case compression works for CYMK, if the “new” 2007 compress option appears in Word 2007 (like in Powerpoint & Excel 2007) then CYMK compression does not work in Word 2007
